The workflow, explained

Every step in plain words

The demo above runs through these same stages. Here is what starts the workflow, what happens at each step, who or what does it, and what you get from it.

  1. What starts it

    Daily schedule

    What sets it off

Once a day, a timer starts the system. You choose the kind of customer to look for, such as dentists in Austin.

    Who does it

Nobody has to press anything. The schedule runs in n8n, the tool that connects each step.

    What you get

Prospecting still happens on your busiest days, because it no longer depends on someone finding the time.

  2. Step 1

    Find

    What happens

The system looks through public sources such as Google Maps listings, LinkedIn and Instagram, and builds a list of businesses that match your niche, job title and location.

    Who does it

Apify, a tool that gathers public web data, working with Apollo, a business contact database.

    What you get

A targeted list instead of a bought one. Without this step, someone spends hours searching and copying names into a spreadsheet.

  3. Step 2

    Research

    What happens

For each business, AI reads what is public about it, including customer reviews, and looks for a real problem. In the sample, reviews mention long phone waits.

    Who does it

RelevanceAI and Perplexity, two AI research tools.

    What you get

A real reason to get in touch. Without it, your outreach reads like every other cold email and gets ignored.

  4. Step 3

    Write

    What happens

AI writes a short message built on that finding, sends it by email and records that it went out.

    Who does it

An AI writer inside the n8n workflow.

    What you get

A personal note for each prospect without anyone writing it by hand, and a record of who was contacted.

  5. Step 4

    Keep going

    What happens

The schedule checks whether enough leads are waiting. If the list is low it collects more, then researches and emails them. This is the dotted line in the diagram.

    Who does it

The n8n workflow, on its own.

    What you get

A pipeline that does not run dry. Without it, outreach stops as soon as the first list is used up.

  6. What you end up with

    Inbox

    What lands with you

The message lands in the prospect's inbox, and each lead carries a status so you can see where it stands.

    Who does it

The system sends it. Your team takes over when a conversation starts.

    What you get

You spend your time talking to prospects, not looking for them.
